SUBJECT: REQUEST TO FILE RENEWAL MISSING TO CITY SECRETARY
CONTRACT NO. 49521
BACKGROUND
On July 30, 2019, the City Secretary's Office received Renewal No. 2 to City Secretary Contract No.
49521. During routine research before filing, it was discovered that Renewal No. 1 was never filed
with the City Secretary's Office. Administrative Assistant contacted the Library Department to get a
copy of Renewal No. 1 but was informed this was just renewed in BuySpeed and not recorded with
our office. Therefore, it is requested that this memo be made the original in order to facilitate the
processing of subsequent Renewals. Correspondence related to the location of the original and the
request for filing has been included in the contract file.
AUTHORIZATION FOR CONTRACT NUMBER
Per the direction of Mary Kayser, City Secretary, the City Secretary's Office has been requested to
issue a contract number, and place in the City of Fort Worth's official contract files the Renewal No.
1.
This request has been approved.

I know that we renewed last year, because we got a PO and paid them, but I don't have a copy of R-1 here.

Yes I have the original already. The quote looks like it might be something but it has no signatures so I don't think this is
it.The dates also don't coincide with the dates on Renewal 2 which states for it to start in August.
Thank you for looking but we might have to wait for Aaron to come back.

I have found the contract (see attached)from 2017. 1 know that you are specifically looking for renewal number
1. However, I have not been able to find it as yet but I've asked everyone that I could think that might have had a copy
of the renewal from last year. We will probably have to wait until Aaron comes back from vacation.
I found the subscription renewal quote from last fiscal year; however, I don't think this is what you are looking for but it
is also attached.

I see that Aaron is out of the office so I am sending this to others so that this contract does not get held up until next week.
I received Renewal No. 2 for CSC No. 49521 with OCLC,Inc. but we do not have Renewal No. 1 on file. Do you by
chance have a signed copy you could send me?That way we have all renewals on file.Until we have the next renewal we
will not number this one as No.2.
