Authorize the execution of amendment to the Merchant Card Processing Service Agreement with Chase Paymentech used for all City departments; 2. Ratify expenditures in the amount of $440,000.00; and 3. Authorize an increase of contract in the amount of $500,000.00 for a contract total of $2,290,000.00. DISCUSSION: On July 13, 2010, (M&C C-24328) the City Council authorized the City Manager to engage in a Professional Services Agreement for Merchant Card Processing Services (Agreement) following a Request for Proposals (RFP) process. The term of the Agreement was three years with up to two one-year renewals. The City's Financial Management Services Department presently utilizes credit card services at approximately 60 locations including, but not limited to Municipal Court, Water Department, Libraries, Community Centers and building permits. The contract approved in M&C C- 24328 expired on July 26, 2015 and a new vendor has not be selected. On May 5, 2015, the Financial Management Services Department issued a new RFP for Merchant Card Services. Proposals were received on June 18, 2015 from thirteen vendors. These responses are currently being reviewed and a full evaluation of their proposals are underway. Staff anticipates awarding this new contract before the end of the year. Subsequent to the expiration of the existing contract, the City has continued to use Chase Paymentech for services and has incurred costs in excess of our original contract authorization in the amount of $440,000.00. In addition, Staff projects that $500,000.00 will be necessary through the remainder of the contract extension which is proposed to expire on January 26, 2016. Necessary funds are included in the budget as appropriated.
