Subject: Iron Mountain City Secretary Contract 51625 Termination
This memorandum provides additional information for the contract termination of Iron Mountain
City Secretary Contract (CSC) 51625.
May 1, 2023, the IT Solutions Senior Manager over the Network Operations Center, emailed
Kathy Agee -Dow that all the tapes previously stored with Iron Mountain Information
Management LLC (Iron Mountain) had been retrieved by the City and tape storage services were
no longer needed.
The Contract Termination Notice for CSC 51625 was sent by email to Iron Mountain on May 2,
2023. Theresa Pate, Sr. Contracts Administrator for Iron Mountain, left a voice mail asking
about the Contract Termination Notice on May 10, 2023. Kathy Agee -Dow returned the call
May 11, 2023 and provided the background details to Theresa, that all City's tapes had been
picked up from the Iron Mountain location and services were no longer needed. She explained
the Contract Termination Notice was needed for the City to formally terminate CSC 51625, but
Iron Mountain was not required to sign the notice.
On May 31, 2023, Kathy Agee -Dow followed up with Theresa regarding the termination notice.
Later that day, Iron Mountain returned the Contract Termination Notice signed.
IT Solutions is requesting CSC 51625 be terminated effective June 2, 2023, 30 days from the
date the Contract Termination Notice was sent to Iron Mountain.

Contract No. CSC No. 51625 (the "Contract")
Pursuant to the Contract, the City has the right to terminate the Contract. This letter is to
inform you that the City is exercising its right to terminate the Contract immediately upon the end
of the termination notice period stated in the Contract. Please return this signed
acknowledgement letter to the address set forth below, acknowledging receipt of the
Contract Termination Notice. Failure to provide a signed acknowledgment does not affect
the termination of the Contract.
