HomeMy WebLinkAboutIR 8966INFORMAL REPORT TO CITY COUNCIL MEMBERS 20 To the Mayor and Members of the City Council July 29, 2008 6 JK " PaQe 1 of 1 SUBJECT: CITY MANAGER'S RECOMMENDATIONS FOR CHANGES TO THE „ CITY'S PROCLAMATION PROCESS The purpose of this report is to provide City Council with proposed changes to the City of Fort Worth's policies and procedures for issuing city proclamations. The City Manager tasked the Communications Office to develop new proclamation guidelines and procedures to make the process more inclusive, more user - friendly and more adaptable to councilmember initiatives. Other comparable cities were surveyed to determine how they manage proclamation requests to establish a benchmark. These cities included Arlington, Austin, Dallas and San Antonio. In these cities, the proclamation process is managed by either the Mayor's Office or the City Clerk's Office. The new plan developed by the Communications Office recommends dividing the responsibilities between the Mayor and Council Office and the Communications Office. Proclamation requests will go directly to the Mayor and Council Office. A councilmember will sponsor the proclamation. The Mayor and sponsoring councilmember will sign the proclamation and the Mayor will select proclamations to be presented at council meetings. Final approval of proclamations will rest with the Mayor. The Communications Office will write, edit and produce proclamations as well as certificates to honor achievements. The Communications Office has established eligibility guidelines for proclamations and those guidelines will be forwarded to the Mayor and Council office. One mounted proclamation or certificate will be issued at no charge. Additional mounted copies will be $40 each and $10 for a copy in a presentation folder.
