HomeMy WebLinkAboutIR 8802INFORMAL REPORT TO CITY COUNCIL MEMBERS To the Mayor and Members of the City Council ' I SUBJECT: FACILITIES MASTER PLAN UPDATE +•n No. 8802 October 24, 2006 Page 1 of 1 The purpose of this Informal Report is to update Council on the progress to date of the Facilities Master Plan and provide information on upcoming steps/actions. The consultant team and staff have been working closely with City Departments to assess facilities needs. This assessment includes evaluation of facility needs throughout the City as well as detailed evaluations of the City Hall need, the Fire and Police Training facility and the Police Administration Building. The Community Advisory Committee has continued to provide valuable input to the process and the first steps in the public outreach campaign have been completed (article in the City Page of the Star Telegram and inserts in the October water bills). Good progress is being made and the overall plan should be complete in the first part of 2007. The detailed needs assessments on the specific facilities mentioned above should be complete by the end of the calendar year. Staff will be making a recommendation relative to the City Hall issue at that time. A special emphasis is being made at this time on the City Hall evaluation part of the process. Toward that end, staff intends to submit an M &C in the next few weeks recommending the amendment of the contracts with both Staubach and Carter & Burgess to expand their scope of work to include: • Full condition assessment of and space usage study on, the Post Office building. • Development of conceptual program and budget for a project to renovate the Post Office for usage as a new City Hall and development of a plan/cost for accommodating the current City Hall functions that won't fit in the Post Office. • Detailed discussions with Post Office officials and developers to determine and evaluate the terms of the potential deal with them • More detailed evaluation of Departmental space and adjacency needs relative to a new City Hall and ancillary facilities. • Development of conceptual program and budget for both a new construction option and the option of renovating the existing building. Elements of the public outreach campaign will also be ongoing over the next several weeks, to include: • Items in Council district newsletters (as desired by each Councilmember) seeking input on the process. • Request for input at the upcoming Youth Townhall meeting. • Scheduling a city -wide townhall meeting.
