The above referenced Contract with the City of Fort Worth expires on September 30, 2022
(the "Expiration Date"). Pursuant to the Contract, contract renewals are at the mutual agreement
of the parties. This letter is to inform you that the City is requesting to renew the Contract for an
additional one (1) year period, which will begin immediately after the Expiration Date. All other
terms and conditions of the Contract remain unchanged.
To agree to renew the Contract for an additional one (1)year period, please sign and
return this request to exercise renewal option, along with a copy of your current insurance
certificate, to the address set forth below.

It is requested that the Commissioners Court approve renewal of Bid No. 2020-145, Annual Contract
for Janitorial Services for Facilities Management, for the first optional twelve (12) month period at
the same firm fixed prices.
BACKGROUND
On September 8, 2020, the Commissioners Court, through Court Order# 133684, approved award of
Bid No. 2020-145, Annual Contract for Janitorial Services for Facilities Management with the
following vendors:
Group 1 Buildings Include: 1895 Courthouse, 350 Building, 350 Garage, Administration Building,
Calhoun Parking Garage, Criminal Courts Building, Criminal Justice Building, Family Law Center,
Plaza Building, Plaza Parking Garage, Tarrant County Corrections Center, Taylor Parking Garage,
Tim Curry Criminal Justice Center, and Tom Vandergriff Civil Courts Building

The awards were based upon low bid meeting specifications and contained options to renew for two
(2) additional twelve (12)month periods.
The vendors notified Purchasing in writing that their prices will remain firm through September 30,
2023. Facilities Management notified Purchasing in writing that they are pleased with the vendors
and want to renew.
Therefore, it is the joint recommendation of Facilities Management and Purchasing that the
Commissioners Court approve renewal of Bid No. 2020-145 Annual Contract for Janitorial Services,
for another twelve (12) month period.
FISCAL IMPACT
Expenses for last year were approximately $4,644,480.00. Services are provided on an as-needed
basis. One (1) government entity currently utilize this contract.
