HomeMy WebLinkAboutIR 24-1836INFORMAL REPORT TO CITY COUNCIL MEMBERS No. 24-1836 To the Mayor and Members of the City Council April 16, 2023 Page 1 of 3 0VA SUBJECT: REGISTRATION FOR COMMUNITY ORGANIZATIONS 2018 — 2024 Yg73 The purpose of this Informal Report is to provide information to the City Council about the number of organizations that were registered with the City from 2018 to 2024. As you will see from the quantifiable information below, the number of registered neighborhood associations and HOAs has increased over the six -year review period. The City currently has a registration policy for various types of organizations. The registration is voluntary and there are minimum requirements, based on the type of organization. When an organization is registered, they receive the following benefits: • Inclusion in the Community Engagement Database. • Inclusion in the distribution of the Community Engagement Bulletin, as well as other pertinent information from department's and District Offices. • Inclusion in the Neighborhood Organization Map. • Registration in the Early Courtesy Notification System. • Support and training. Why does the City have a registration process? • Improve outreach and engagement. • Maintain an updated database of neighborhood, faith -based and community organizations. • Provide notifications of zoning cases and other City programs. • Share regular information and updates on City services and events. • Assist neighborhoods with capacity building and identifies those needing assistance. We currently offer registration to these types of organizations: • Voluntary Neighborhood Associations • Mandatory Neighborhood Associations — HOAs • Neighborhood Alliances • Redevelopment Organizations • Faith -based Organizations Neighborhood Associations Registered from 2018-2024: • In 2018, we had 258 registered neighborhood associations (voluntary 107 voluntary and 151 mandatory) • In 2019, we had 269 registered neighborhood associations (voluntary 109 voluntary and 160 mandatory) • In 2020, we had 272 registered neighborhood associations (voluntary 109 voluntary and 163mandatory) • In 2021, we had 276 registered neighborhood associations (voluntary 109 voluntary and 167 mandatory) • In 2022, we had 289 registered neighborhood associations (voluntary 110 and 179 mandatory) • In 2023, we had 299 registered neighborhood associations (voluntary 115 and 184 mandatory) • In 2024, we have 302 registered neighborhood associations (voluntary 116 and 186 mandatory) From 2018 to 2024, the Community Engagement office has registered 44 new neighborhood associations, which is a 17% increase in the total number of registered associations. We are currently in the process of contacting each Alliance to get an updated list of their member organizations. We will then confirm that each of these organizations agrees to be included. We will then update the database to reflect the correct membership lists. Moving forward, this will be done when the annual update is submitted. Database Staff is currently working with ITS to launch a new database, later this year. This database will allow us to easily update the information and also have multiple departments provide information on any contacts they make with these organizations. The current database is approximately 15 years old and doesn't have all the functionality needed for the increased engagement that is taking place throughout the City.
