Subject: Response to Council Requests for Information on M&C P-4483 and P-4485, Continued from 9/18/90 Agenda M&C P-4483, Purchase Agreement for Flex Base Crushed Limestone The bid specifications for this purchase agreement required each bidder to identify the pit location from which materials would be delivered. This requirement is included so that if the quality of the source pit is not known, it can be tested for compliance with State Specification 248.4 Type A. The low bidder, Beal Concrete, dj:a not comply with the specification requirement to identify pit location and their bid was rejected as non-responsive. In response to Council direction, Beal Concrete has now been contacted and they have identified their pit as being located in Chico, Texas. A sample load has been requested and upon receipt, will be tested. HJG Trucking Co. remains the lowest bidder to have complied with all bid requirements. M&C P-4485, Purchase Agreement for GMC Parts This M&C stated that invitations to bid had been sent to five prospective bidders; however, only one response was received. At Council direction, the other four propective bidders have been contacted. The responses are as follows: Summit White GMC Trucks, Inc. - the Parts Manager states that he completed a bid form and submitted it to their administrative office for mailing. He could not confirm that it had been mailed and the City has no record of having received this bid. Hudiburg Chevrolet - the Parts Manager responded that this firm is not interested in doing business with the City due to an unresolved, disputed invoice from a previous year. John Thornhill Buick, GMC and Buz Post, GMC - parts managers at both firms said that they did not receive bids in time to respond due to in-house routing of the bid documents.
